Secretary II

The Human Resources Department announces the position of Secretary II supporting the Uzuri Think Tank, reporting to the Director, Operations and Research.

Responsibilities include: coordinates and performs administrative functions and office work for the Center; organizes and maintains files and documentation, including, but limited to, research and financial reports/analysis required of or compiled in the center; assists in the hiring process for center staff; prepares and distributes confirmation letters, assists in scheduling, contracts, travel arrangements and other hiring related activities; assists with monitoring the budget including budget forecasting and control, accounting, purchasing, leased or contracted operations, and general business functions of the center; schedules appointments and meetings for the Director and Chair; answers constituents' questions and, when needed, refers inquiries appropriately; prepares forms and materials for signature, including grant applications and proposals; assists with ordering and purchasing goods/services (e.g., prepares purchase orders and invoices, maintains records of all Center purchasing activities) and expense reporting; assists in coordinating events related to recruiting and retention, promotion, publishing, guest speakers, professional and honorary functions, recognition ceremonies and other Center events (e.g., when needed, schedules facilities, orders and prepares materials and mailings, acquires certificates, pins, gifts, orders equipment and food and attends functions); coordinates and attends Center meetings; prepares materials and provides secretarial support, as needed; assists in research writing and publishing-related activities, including ordering books, journals, newsletters and supplies, maintaining center research resources, articles, documents, files and archives; supports the Center in all research, grant, academic and community related activities as needed; makes travel arrangements and assists with expense reporting, cash advances, purchase cards, when appropriate, prepares spreadsheets documenting travel expenses, etc.; assists with preparing descriptive literature for projects and programs; updates, maintains, and enhances the Uzuri Think Tank website presence as necessary, and ensure a quality, professional end-user experience; and performs related work as required.

Requirements:

  • Associate's Degree or equivalent work experience.

  • Minimum of 3 years of administrative/office experience, preferably in higher education.

  • Proficient knowledge of computers including Microsoft Office packages; ability and willingness to learn new software and technologies and grow academically as required.

  • Excellent oral, written and interpersonal skills; professional demeanor.

  • Understanding and commitment to maintaining confidentiality; ability to handle sensitive and confidential information, make independent judgments and pay attention to detail.

  • Ability to work independently and collaboratively with co-workers, students, faculty, administrators and staff, as well as external constituents.

  • Ability to work a flexible schedule; Ability to work some evenings and weekends, as required.

  • Customer service/student focused; culturally sensitive and able to work effectively with diverse constituents.
