Volunteer Information for University Employees

As a representative and employee of the university, you are responsible for the safety and wellbeing of the volunteers serving and those being served.

Please refer to the complete volunteer policy, as well as the Policy of Ethical Practice for guidance on how to manage volunteer engagement.

You will need to collect all materials from your volunteers and submit them in one package to Human Resources for retention. It is your responsibility to ensure that the necessary clearances have been obtained. In submitting the POMP (Protection of Minors Policy) Form well in advance, you will be advised on the type of clearances required by volunteers. Read the entire Protection of Minors policy here.

These policies are meant to reduce risk and protect the interests of the university, its volunteers, and the community it serves. The university may accept the services of a volunteer, provided the terms of this policy are met. In its sole discretion, the university may refuse, decline or discontinue the services of a volunteer.

Before an individual performs services for the university as a volunteer, a university representative (or sponsor) must describe the type of service to be performed.

Most volunteers will be required to complete preconditions prior to beginning service, outlined in section 2.b. Any individual, who is not otherwise currently affiliated with the university as a member of the Board of Trustees, faculty, staff, or student body, who seeks to serve or perform services for the university as a volunteer, either taking place on the university campus or under the authority and/or direction of the university at other locations is subject to this policy, with the exception of certain volunteers participating in ice skating and/or hockey activities at the Island Sports Center.

Process for Volunteer Compliance:

  1. Staff sponsor/supervisor submits POMP at least 60 days prior to event/camp

    2. Complete The POMP And Print
  2. Staff sponsor/supervisor for volunteer submits Fillable Information Form to HR
  3. Volunteers must get their clearances independent of the university, this document explains the process.  *There is no cost to cost to volunteer when the volunteer follows these instructions.
  4. Camp Volunteer background checks are kept with the sponsor until 48 hours before the start of camp
  5. If Volunteer is not getting FBI clearance, they must print and sign this document to accompany with copies of clearances.
  6. Sponsors will submit all signed documents and clearances in one package to Human Resources, accompanied by the Name and Dates of the Camp or Volunteer Program.

  • Always.

When do we send/collect Policy of Ethical Practice Disclosure for volunteers?

  • For use with everything except summer camps.
